The operations of Dalgety Agra Polska Sp. z o.o. covers all of Poland. The company has 5 branch offices (Poznań, Aleksandrów Kujawski, Pszenno, Olsztyn, Lublin). The company provides services to Polish farmers in the area of grain marketing, pesticides and fertilizers. The company employes highly qualified field operatives. The company has been servicing farmers for over 200 years. Dalgety Agra Polska Sp. z o.o. is funded by U.K. investors with Polish management.
Primesoft Polska Sp. z.o.o. completed the main stage of the implementation of the electronic document circulation and retrieval V-Desk system on 8th July 2005 at Dalgety Agra Polska Sp. z o.o. This implementation has been successful and as demonstrated by further customer requests to expand the existing system to include other types of documents in the electronic circulation system. These requests are being completed in subsequent implementation stages. Based on current analysis the investment with the V-Desk system will produce a return in 2 years.
Currently the V-Desk system is used by 50 employees.
Part of the implementation was the integration with the company’s sales, purchasing, stock control and financial accounting system.
The implementation was smooth and trouble free due to an unconventional method of using 2 monitors concurrently. Deploying a dual monitor system allowed users quick and comfortable access to the information. One monitor was used by V-Desk to view the current document with zooming capability of any part of it, while the other was used to work with other systems not displaying images. Such a solution greatly improved customer service and internal administration.
Many types of invoices are included in the electronic document circulation system at Dalgety Agra Polska.
Since the implementation of the V-Desk system users do not need to access their documents in paper format. For example, quotations once scanned and added to V-Desk are immediately forwarded to relevant parties for verification of the descriptive data. The last step in the electronic ciculation is a semi-automatic step to export invoices to tracking, financial and accounting systems. The V-Desk system continually monitors the stages of work and updates information. The users can check the current state of the invoice being processed. Even after a few months immediate access and viewing of the invoice is available.
A novel feature of the V-Desk system is the usage as a tool to archive and track VAT invoice circulation for farmers. The system automatically imports data from external applications, then by the V-Desk Scan module, using the barcode information, associates the scanned image to the relevant record in the database. Thanks to such a solution V-Desk is looking after timely completion of work notifying/alarming the designated staff when expected responses from the farmer is delayed.
The implementation of the V-Desk system resulted in efficient work planning both in the head office and all the company’s branches. The electronic document circulation and retrieval system allows quick and efficient invoice approvals.
The V-Desk system implemented in Dalgety Agra Polska allows quick and easy document retrieval, report and analysis preparation on collected data.
Thanks to the implementation of the V-Desk at Dalgeety Agra Polska, a system of document access levels was established for authorised personnel, thus ensuring document security and confidentiality.
Dalgeety Agra Polska Sp. z.o.o. expressed interest in expanding the V-Desk control over other types of documents.
