Hydrobudowa Włocławek S.A. for over 30 years has been specialising in the comprehensive delivery and service of projects in areas of civil engineering, hydro technical environmental protection and sewage systems. The company employs 400 highly qualified and experienced employees.
Implementation of the PrimeSoft Polska Sp. z o.o. authoring application for the electronic document circulation system was completed at the beginning of July 2005.
This system is used by 50 users in Head Office and branches in Wrocław, Szczecin, Torun and Poznan. Access to the database is accessible at any place within the company where a computer has access to the internet. Such a design of the V-Desk system based on internet technology makes it very flexible. All system changes and updates are implemented by a central server and are immediately available to all users. At the same time, system security is increased by limiting access to only those authorised by external sources, to the application. During the implementation process, the circulation path of quotations was created. The user works with an electronic copy of a document by viewing it on a virtual desktop. All descriptions, approvals, consultations and distribution of a document are managed electronically. The main goal of the implementation was achieved. Work efficiency was increased by reducing time required to acquire initial descriptions and approvals of invoices required by full accounting disclosure.
During the implementation phase and responding to the requirements of Hydrobudowa Włocławek S.A., a centrally located secure document database was created. The ability to view the document ciruculation history, analysis and reporting resulted in the improvement of the quality of management.
An important aspect of the project was the integration of V-Desk system with existing IT environment of the Hydrobudowa Włocławek. The focus was to integrate with ERP systems (deployed in Else), in particular with its financial, accounting and tracking modules.
The Hydrobudowa Włocławek S.A. recently expressed interest in further expanding the V-Desk system to cover electronic circulation of other types of documents.
