The Warsaw based Infra Sp. z o.o. specialises in non-excavative servicing of water, gas and sewer installations. In May 2005 the majority of the company’s shares were bought by the PBG S.A. group. Acquiring such a strong partner caused rapid expansion. The company’s mission is the implementation of environmentally friendly and life quality improving technologies.
The business operated in distributed environment. In addition to the Warsaw head office, the company has regional branches located in Szczecin and Poznan. Building and sewer service operations are conducted across entire Poland.

The urgent need for efficient management of waste documentation forced the decision to choose and implement the V-Desk document circulation and retrieval system. The implementatin assumed access to documents from a few departments. In the first stage, the electronic imaging and circulation system covered purchasing related contracts and documents. In addition, 3 extra other document types were included in this process – delegations, delivery dockets and other documents.
A simplified mechanism of registration of invoices was employed here. Dedicated labels summarising electronic circulation of purchasing documents were prepared, containing information on individual approvals by participating personnel.

The implementation process also included integration of the V-Desk system with the tracking system by interLAN Sp. z o.o., which made possible the verification of costs and budget planning.
The V-Desk system improved document circulation, provided faster information access and easier cost control, thus increasing efectiveness of the management.
