About the company

Inchcape Motor Polska is a leading BMW and MINI dealer. It belongs to the global Inchcape Group, which cooperates with the leading automotive producers and distributors based in Europe and  all over the world. The company operates also in the Far East markets, where deals in brands such as Toyota/Lexus, Suzuki, Mazda or Jaguar.

Implementation areas

The primary aim of the implementation of V-Desk system in Inchcape Motor Polska was to automate a wide range of the company business processes. The implementation involved management of documents (invoices, orders, service orders, contracts, or new suppliers), e-office, and processing and control of cost generating projects. And what requires special attention, V-Desk system was integrated with Incadea Navision (DMS).

Users

At present the system is exploited by 50 users (based in the headquarters in Warsaw and in Wroclaw), yet the client is already planning to implement other processes so as to ultimately include 90% of the company administrative operations. 

ATUT RENTAL Sp. z o.o.

About the company

ATUT RENTAL Sp. z o.o. has provided comprehensive services within hire, sales and service of construction equipment for nearly 25 years. Currently it has 15 subsidiaries in the biggest Polish cities.

Implementation areas

The core aim of the implementation of V-Desk system was to streamline communication and document flow among the subsidiaries and to centralise business functions. The main implementation area were purchasing documents (requisitions, orders, invoices). Owing to the replacement of paper documents with electronic ones, the company shortened their flow duration and permanently reduced costs connected with their processing. The deployment of the above-mentioned features resulted in the facilitation and faster access to archival documents and increased archived data security. The integration of V-Desk with warehouse management system (which constitutes the source of, among others, item data for V-Desk system) and accounting system allowed to automate processes related to purchases and their settlement.

Users 

The system is exploited by the staff in all the 15 subsidiaries based all over Poland. 

PIF Ltd

About the company

We do not lack prestigious clients – one of such definitely is Poznań International Fair  (PIF), the leader in the Polish trade fair industry. In Poland Poznań International Fair has a market share of 60% and is the first organiser of trade fairs in East-Central Europe. It possesses the biggest exhibition and conference infrastructure in Poland, including 16 large high-standard air-conditioned halls (exhibition space of over 110 thousand square metres, and open space of nearly 35 thousand square metres) and 81 modern conference rooms.

Implementation areas

The implementation was realised by stages. The first included purchase invoices and related documents (contracts, purchase orders, purchase invoices, etc.). In order to optimize document processing, the company decided to implement OCR technology. The following areas were ITIL processes (management of incidents, problems, permissions), and exhibition facilities booking and management. The last stage of the implementation involved processes related to personal data processing. The aim of this project was to ensure compliance of data processing practices with the provisions of GIODO (the Inspector General for Personal Data Protection) and the Act of Electronic Communications. In this process the key role is played by V-Desk scanning mechanisms, owing to which documents are shared with other systems after they have been scanned and converted into electronic versions with the use of OCR.

Users

At the beginning, the number of processed documents was equal to 20 thousand, however, as the new processes were implemented, it increased up to 150 thousand by the end of 2014.
